Job description
Exciting new opportunities within the HR department at ACS International Schools.
We are looking for an HR Administrator to join the HR team and to be based at ACS Hillingdon.
The role will provide HR administration support to all UK managers and staff, in a timely, efficient, confidential, compliant and customer-focused manner. You will look for opportunities
to recommend improved administration processes to the HR Business Partner and HR Advisor.
Main responsibilities will include:
Ensure the accurate and timely updating of the HR information system and the Single Central Register, including all changes of employee personal information, salary changes, benefits, etc.
Ensures efficient, accurate and timely administration for UK payroll.
Processes and monitors all security clearance checks including; Disclosure & Barring Service (DBS) checks, international overseas police checks, reference checks and Checks and logs 'right to work in the UK' and processes Tier 2 immigration visa applications and monitors to ensure up to date compliance with immigration requirements.
Ensures day-to-day pension and benefit administration is processed.
Produces regular and timely reports, employee information and documentation, e.g. staff lists, requests for information from line managers, starter/leaver information, etc.
Supports employee relations matters, e.g. disciplinary and grievance issues, and is a note taker for formal meetings, directs managers and staff to the appropriate policy.
Working with the wider HR team, and as directed by the HR Business Partner, ensures that the annual pay review is administered effectively.
Deals with ad hoc enquiries from managers and staff effectively and efficiently using the most appropriate communication method.
Recruitment & Induction
Provides assistance to ensure the smooth running and effectiveness of local recruitment.
Provides advice and assistance in all recruitment when required.
Attends recruitment fairs as necessary and acts as ambassador in encouraging applicants to work for ACS
Assists in the induction of new staff, completing all necessary paperwork and processes to ensure a smooth transition into the Schools or Business Support Functions.
Compliance
Ensures internal compliance with all HR policies and procedures and proactively advises where this might not be the case.
Ensures company compliance with all employment law legislative requirements (e.g. 'right to work in the UK', DBS checks, Data Protection, ISI data and inspections, etc.).
General
Plans and organises workload, ensuring prioritisation of key activities and deliverables as agreed with HR Advisor and HR Business Partner.
Supports HR colleagues as required during absences, holidays or workload peaks.
Looks for opportunities to continually improve HR practises and administration and presents appropriate suggestions/solutions to the HR Business Partner.
Keeps abreast of changes in employment legislation and practises.
Actively participates in HR events and team meetings.
You must have:
Experience of working in an administration role and/or support function in a multi-functional, customer-focused environment. Previous experience working in a busy HR team is desirable.
Good awareness of employment law is desirable.
Experience of recruitment, interviewing, induction, is desirable.
Personal Qualities:
Team player with excellent customer service skills and helpful approach.
High accuracy and good planning and organisational skills are essential.
Computer literate with ability to use MAC/Windows packages and HR database systems.
Respects and adheres to confidentiality and data protection.
Proactive approach in identifying improvements and efficiencies in HR processes and paperwork.
Looks for opportunities to develop level of expertise and capability.
Excellent verbal and written communication skills.
A systematic and organized approach to work.
Able to work autonomously when required but also collaboratively across the HR Team
